Make the order clear

From your drawing to your receiving team

Work directly with our technical team. These are the decisions we establish around an overseas order.

Step 1

Review your part

A drawing and destination to quote against.

  • Drawing/model, grade, finish and quantities
  • Country, postcode and required arrival date
  • Critical features and receiving documents
Start with the part and destination

Send the latest drawing and model, material grade, quantities, critical dimensions and finish. Add the delivery country and postcode, required arrival date and the documents your receiving team needs. Manufacturing lead time and shipping time are considered separately.

Step 2

Agree the order & terms

Scope, acceptance and delivery responsibilities established.

  • Released drawing, quantity, price and finishing
  • Inspection and sample approval where required
  • Packing, freight, clearance and payment terms
Agree the order before manufacture

The quotation should establish the component requirement, quantity, inspection scope, sample approval if needed, packing, payment terms and shipping responsibilities. A prototype or small batch can help establish the part and its acceptance plan before repeat production.

  • Approve the drawing revision and resolve technical questions.
  • Set first-article or sample acceptance criteria where required.
  • Confirm required material, dimensional and process reports.
  • Agree delivery terms and the named destination.
Make delivery responsibilities clear

Agree who arranges transport, handles clearance and pays freight, insurance and destination charges. Any Incoterms® rule, named place and version belong in the quotation and order. Duties, taxes, brokerage and freight should not be assumed to be included in a component price.

Step 3

Manufacture & inspect

Make the agreed part and check its acceptance features.

  • Machine or fabricate to the released drawing
  • Coordinate specified finishing and in-process checks
  • Final inspection and sample approval where agreed
Manufacture and inspect the agreed part

Prepare material and the agreed machining or fabrication route against the released drawing. Coordinate specified finishing, check critical features during manufacture and complete the agreed final acceptance checks. Where required, establish sample or first-article approval before the wider batch. Material, dimensional and process records should identify the relevant part, revision and batch.

Step 4

Prepare the documents

Shipment records and quality records planned separately.

  • Commercial invoice and packing list
  • Transport document for the agreed route
  • Agreed material, dimensional and process records
Documents that match the shipment

Plan the commercial invoice, packing list and applicable transport document with the shipping parties. Confirm origin evidence or additional destination documents with your broker when needed. Quality reports form a separate agreed pack and should identify the relevant part, revision and batch.

Step 5

Protect & dispatch

Packing chosen around the actual component.

  • Finished surfaces, threads and sensitive features
  • Packed dimensions, weight and receiving constraints
  • DHL / FedEx courier, air freight or sea freight
Packing for the component and route

Highlight sensitive surfaces, threads, sharp edges and corrosion concerns. Discuss separation between parts, protective packing, outer packaging and any receiving constraints. DHL and FedEx courier options, air freight, sea freight and other suitable transport routes can be discussed. The choice depends on packed dimensions, weight, urgency and destination; service availability, timing and cost are confirmed for the order.

Step 6

Receive & repeat

A repeat order tied to the approved component.

  • Receiving contact and shipment-specific documents
  • Part number, drawing revision and new quantity
  • Highlight any material, finish or inspection changes
Prepare for receiving and repeat orders

Ask your customs broker or destination authority to confirm shipment-specific classification, import documentation and current requirements before ordering. Your receiving contact and delivery details help align dispatch. Repeat orders should reference the approved drawing revision and highlight changes in quantity, finish or inspection.

Shipment documents. Part acceptance records.

Confirm the required documents and delivery responsibilities with the quotation and shipping parties. Request your inspection and traceability records during the quotation.

Questions from overseas buyers

Can an overseas buyer start with a small quantity?

Yes. Share the prototype or sample quantity together with expected repeat volumes. Sample pricing, timing, inspection and the approval process are confirmed in the quotation.

Can you include inspection documents with exported parts?

Request the material, dimensional, CMM, first-article or process records your team needs. Availability, coverage and format are agreed for the part before production.

What shipping options can we discuss?

DHL, FedEx, air freight, sea freight and other suitable routes can be reviewed for the packed components and destination. Confirm the carrier, service, freight cost, delivery responsibilities and required date with the quotation.

Can we discuss a destination outside the USA and Europe?

Yes. Include the delivery country, postcode and receiving requirements. Shipment feasibility, carrier options, documentation and commercial terms are reviewed for the specific enquiry.

How should we share confidential drawings?

Contact the technical team before sending files if an NDA is required. Agree confidentiality arrangements and the appropriate sharing route first.
